Who we are

You can use this website without accepting optional analytics. We do not use advertising or marketing cookies.

What we process and why

When you send us an enquiry

The enquiry forms on this website (the short brief, the call request, the direct contact form and the enquiry options in the assistant) send what you enter to our mailbox, info@aotdigital.com, when you press “Send enquiry”. Nothing is sent before you press it, and you can check everything first. An enquiry contains your name, the email address for our reply, your organisation and phone number if you add them, your message or brief, and which form you used. We use these details to deal with your enquiry.

The enquiry is passed to our hosting provider’s email system and delivered to our mailbox. This website does not keep a copy in its database or logs, and enquiries are not used for analytics. Sending an enquiry does not need optional analytics consent. We do not send an automatic reply to the address you enter.

To protect the forms from automated misuse, sending an enquiry sets a short-lived security cookie (see the cookie policy) and counts recent enquiries using a coded value derived from your connecting address, not the address itself.

The assistant on this website is a scripted demo, not an AI. What you type in its chat stays in your browser. Only an enquiry you choose to send from the assistant, with “Send enquiry”, is submitted to us.

If you email or phone us directly, we process the details you choose to share in the same way.

Optional analytics (only if you accept)

If you accept optional analytics, our own server records page views. We rely on your consent, and nothing is recorded if you reject or make no choice.

We do not record your IP address for analytics, your precise location, a device fingerprint, names, email addresses, anything you type into forms or the assistant, passwords, or recordings of your visit. Analytics shows counts from browsers that accepted. It does not identify who you are.

Your privacy choice

Your browser stores your choice, its version, the time you made it and when it expires, so we do not ask on every page.

Security

The server that delivers this website processes technical connection data, such as IP addresses, to deliver pages and keep the service secure. For the staff admin area, failed sign-in attempts are counted using a coded value derived from the connecting address, not the address itself, to limit password guessing. We keep a log of security events, such as successful and failed sign-ins, without IP addresses. We do this in our legitimate interest in keeping the website secure.

How long we keep it

• Analytics records: 90 days, then deleted by a clean-up that runs at least once a day. They are deleted sooner if you withdraw consent, as soon as your withdrawal reaches our server.
• Consent receipt: valid for up to 180 days from when you accept, unless you withdraw earlier. When you withdraw, the analytics records linked to it are deleted as soon as the request reaches our server. We then keep only a minimal record that the receipt was revoked (a coded value, the consent version and the dates it was granted, was due to expire and was revoked, with no page views) for up to 30 days, or until its original expiry if that is sooner. It is then deleted by the clean-up.
• Your choice in your browser: 180 days, or until you change it.
• Failed sign-in counters: used for 15 minutes, then deleted by the clean-up. Enquiry counters (a coded value and a time, no enquiry content): used for 1 hour, then deleted by the clean-up. Security event log (event type and time only): 90 days, then deleted by the clean-up.
• Enquiries you send through this website, by email or by phone: kept by us as long as needed to deal with your enquiry. The website itself does not keep a copy.

Sharing

We do not sell personal data. Optional analytics is processed on our own server. Enquiries are delivered to our own mailbox through our hosting provider’s email system. We do not use third-party analytics, advertising or social media tracking on this website. The fonts are served from our own server. The company that hosts the website may process data on our behalf to run the service.

Your choices and rights

• You can accept, reject or withdraw optional analytics at any time using “Cookie settings” at the bottom of every page. Withdrawing is as easy as accepting.
• When you withdraw, analytics stops at once on this device, and we delete the analytics records linked to your browser’s consent receipt as soon as the request reaches our server. If it cannot be delivered, your browser retries on your next visit. Otherwise the records are deleted by our clean-up, which runs at least once a day, after the receipt expires or after 90 days, whichever comes first.
• You can ask us for access to, correction or deletion of your personal data, or object to or restrict how we use it, using the contact form or by emailing info@aotdigital.com. Analytics records are linked only to random codes, so we may not be able to find records about you without them.
• You can complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
